The Partner Guide to Caregiver Retention

Homecare agencies need to keep their qualified, hardworking caregivers, which is why we’ve created this guide. Read on for the most effective methods for retaining caregivers, as well as actionable solutions that are currently available in the HHAeXchange ecosystem.

Jump to the place you need:

    The HHAeXchange Platform

As a homecare agency management platform, HHAeXchange takes care of the heavy lifting involved in the day-to-day operations of a homecare agency — from compliance regulations like electronic visit verification (EVV), to billing, scheduling, and reporting. Our software boosts operational efficiency, helps you deliver better care to your members, and gives you the business tools you need to grow your agency.

    How HHAeXchange Boosts Caregiver Retention

Our solution also helps you tackle your biggest business concerns, like caregiver retention. With the HHAeXchange platform you’ll be able to better attract, develop, and retain the best caregivers by giving them tools that simplify stressful tasks, strengthen their job satisfaction, and allow them to focus on delivering quality care.

Build a work culture that delivers an experience caregivers will stay for. With HHAeXchange, you can alleviate the stressful, tedious parts of the job that drain caregivers and rob them of the passion they have for their patients.

Give Your Caregivers a Better Experience With the Mobile App

With HHAeXchange’s mobile app, your caregivers have the flexibility to easily manage their schedules, voice their preferences, raise their hands for new assignments, execute EVV quickly and accurately, complete training at their convenience, and report what they see on the ground to improve patient outcomes. If they encounter a problem out in the field, they can easily connect with office staff.

    Payroll-billing

Increase Transparency & Access by Outsourcing Payroll & HR

Outsourcing your HR and Payroll gives your caregivers access and control over things like benefit elections, 401k contributions, dependents, paystubs, and so much more. When caregivers feel a lack of autonomy, that they don’t have independence or “say so” in their life, it can quickly lead to burnout. Giving your caregivers control over their important life decisions not only frees you up from administrative duties, but it gives them back that autonomy and increases the trust they have in the agency.

    ADP

HHAeXchange’s preferred payroll and HR partner, ADP, supplies best-in-class technology that results in increased efficiency for homecare providers, and major perks for caregivers.

ADP puts data and decisions at your caregivers’ fingertips. With ADP, caregivers have the ability to see and act on all their vital HR and payroll information whenever they want — without having to reach out to the office.

But it isn’t just the access to their information that caregivers love, it’s also the benefits themselves. ADP’s expert team of HR consultants can recommend competitive benefit packages that work best for your caregivers. With the integration to HHAeXchange, the hours tracked within the platform will input automatically into ADP, so your caregivers will know that when payroll is calculated, it’s done accurately.

Attract Caregivers Who Are the Right Fit

It’s understandable that during a caregiver shortage, homecare providers may be tempted to lower their hiring standards. Yet, that practice could do more harm than good. With the average caregiver costing $2,600 to replace, it’s critical that homecare agencies do their due diligence and hire qualified caregivers who are a good fit for their companies. Thankfully, there are tools providers can use to speed up the hiring process while still making sure that the caregivers they hire are a great match for their agency.

    Bolt Healthcare

The Bolt Homecare app offers several tools to help homecare agencies hire qualified caregivers. These tools accelerate the recruitment process without sacrificing an adequate and thorough review of the candidate.

Features like their two-way text messaging and emailing feature allow agencies to easily communicate with potential hires. Agencies can send reminders, answer questions, and follow up with candidates without the need for in-person meetings.

Other helpful features include a follow-up dashboard, electronic paperwork, and an advanced notification center. These tools ensure that no qualified candidates fall through the cracks, that the HR department is always aware of the latest updates, and that every step in the process happens quickly and efficiently.

Use Rewards to Motivate & Acknowledge Hard Work

Feeling under-appreciated is consistently one of the leading drivers of caregiver turnover. Many homecare agencies simply don’t know how to best recognize their caregivers' hard work. That’s where a rewards platform comes in. A study by Cornell University found that immediate rewards for tasks completed consistently led to higher engagement and motivation, which means that using a platform like Caribou Rewards not only rewards caregivers for the work they do, making them feel appreciated, but it helps keep them motivated as time goes on.

    Caribou Rewards

Caribou Rewards is an incentive platform proven to boost recruitment, retention, and staff performance through gamification, recognition, and rewards. Did you know staff who receive regular small rewards are eight times more engaged than those who receive annual bonuses? Or that 90% of surveyed caregivers said they felt more appreciated since the rollout of Caribou Rewards? The results speak for themselves.

And Caribou Rewards makes the process easy. With their platform, caregivers earn points for completing tasks that are valuable to your agency. These tasks can be related to clock ins, referrals, training, and even retention milestones! The points can later be redeemed by the caregiver for cash or gift cards. The best part? It’s an automated process. Because it’s integrated with the HHAeXchange scheduling software, your office staff won’t have to monitor or distribute the rewards. If you’d like to learn more, check out their Intro Video.

    Perry

Perry is a caregiver incentive program that increases caregiver productivity and retention while also improving quality of care for patients. Their program offers micro-rewards redeemable from over sixty different merchants. In just three months, homecare agencies working with Perry improved retention by 33%, saw a 450% increase in new hire referrals, and saw a 20% increase in open shifts picked up. Additionally, Perry offers actionable insights, such as caregiver visits, and real-time sentiment via Electronic Medical Record (EMR) integration and pulse surveys.

Implement Earned Wage Access (EWA) to Relieve Financial Stress

According to the 2022 Homecare Pulse Benchmarking Report, turnover is highest among caregivers whose pay is below the 25th percentile. The reality is that finances matter to caregivers, and no matter how much they love their work, if they can’t pay their bills when they need to, they’ll look for a different job. That’s where Earned Wage Access (EWA) can help. EWA allows caregivers to access their money when they need it, instead of waiting until payday. This type of financial flexibility can go a long way towards decreasing the money-related stress that results in turnover.

    Keeper

According to the 2019 Visa report, 95% of employees want to work for an employer that offers EWA, and 89% would stay longer with an employer that did. That’s why Keeper – which was originally created to service the home and healthcare industry – is such a terrific benefit. It’s a recruitment and retention tool for you, and a high value benefit for your caregivers.

Keeper utilizes EVV to determine the number of hours your caregivers have worked, and as soon as their shift is finished, the day’s wages become available to them. The convenient Keeper mobile app, designed for caregivers, makes it easy to withdraw their pay immediately after clocking out.

Use eLearning & Professional Development to Increase Job Satisfaction

In a report produced by Missioncare and the National Association of Homecare and Hospice, it was found that 70% of caregivers were interested in pursuing more education. And this education doesn’t have to mean degrees; many caregivers are more interested in skill-based education.

Using an eLearning or professional development platform makes it easy for your caregivers to remain compliant, but it also gives them the tools to be successful at their job. Researchers have determined that to prevent turnover and increase job satisfaction among caregivers, it is critical that they are provided career mobility opportunities, training to meet the needs of their patients, and well-trained supervisors and peer-mentors to help navigate their roles.

    Nevvon

Nevvon, a healthcare education company, provides agencies with an e-training platform for mandatory annual education for caregivers. Their app lets caregivers easily educate themselves at their own pace and when it’s convenient for them.

But Nevvon is more than just an e-training platform. They also offer an innovative workplace mentorship program, the Legacy of Care Mentorship Program. Research has shown time and again that mentorship has many advantages, including increased caregiver confidence, engagement, retention, and skill development. Mentorship helps relieve caregiver stress and provides them with much needed support. It also provides the mentor with leadership opportunities and career mobility.

Nevvon’s mentorship program provides agencies with a template on how to recruit mentors internally and ways to connect with caregivers. It also helps them document interactions and then identify problems that could lead to turnover. According to Nevvon, agencies see an 89% caregiver retention rate in the first 90 days of employment using the Legacy of Care Mentorship Program. Agencies under this mentorship program have also saved up to $50,000 in costs associated with recruiting, hiring, and training new caregivers, proving just how critical mentorship is in getting ahead of employee turnover.

    Home Care Pulse

From training for caregivers, to reputation management, to helpful data insights, Home Care Pulse has a lot to offer homecare agencies. But it’s their training program that keeps caregivers engaged and happy at their agencies.

Home Care Pulse offers the industry’s only blended learning solution with classroom training material and online eLearning courses. Beyond that, they use points and rewards to keep everyone motivated. They also offer specialized training in areas like Alzheimer's & Dementia, Readmissions, and Behavioral Health. Not only has upskilling caregivers been shown to dramatically reduce hospital readmissions and improve patient care, but it also provides caregivers with the skill-based education that makes them feel more competent and confident in the field.

    CareConnect

Caregivers are often on the go, and it can be hard to stay up to date with compliance and agency requirements. CareConnect, a workforce optimization software, offers a virtual eLearning platform, which means your caregivers can receive job training and complete their onboarding anywhere, at any time.

Beyond the legally required training, CareConnect also offers training that helps caregivers upskill, continue their education, and stay updated on the latest caregiving best practices. Considering caregiver training and career mobility has one of the highest correlations with job satisfaction, this is a huge boost for agencies looking to improve retention.

Plus, the HHAeXchange mobile app now offers single sign on to CareConnect, making it easier than ever for caregivers to access their eLearning.

    Showd.me

Using only in-person, instructor-led training (ILT) eats up caregivers’ time, is costly for providers, and is inconvenient for everyone. Caregivers are already stretched thin; they don’t always want to drive to and sit through a long in-service training.

Showd.me offers a better way to deliver healthcare training. Their cloud-based platform enables organizations to train employees online, on their own schedule, and in their native language. They offer a wide range of courses on medical topics such as HIPAA compliance and customized training solutions. With self-paced, on-demand eLearning, caregivers can complete their required training where they are most comfortable, and at a time that works best with their schedule.

Give Your Caregivers the Resources They Need to Succeed

Caregiver retention in today’s homecare environment requires so much more than a steady paycheck. It requires that agencies understand the difficulties their caregivers face on the job, the burnout they feel, and the dedication they have for their patients. Keeping caregivers happy means rewarding their time and effort with career mobility opportunities, incentives, benefits, training, and a safe working environment. It’s a tall order, but we believe that through our software, and the partners we’ve chosen to work with, homecare agencies will be able to provide their caregivers with everything they need to stay with their agency for many years to come.
