    Getting Started Checklist

    You have your HHAeXchange login credentials and are ready to get started--now what? We've created a checklist of the first steps you should take to set your agency up for success.

    Review HHAeXchange University & Resources

    HHAeXchange University is a Learning Management System (LMS), which houses training videos about how to use HHAeXchange. The link to register is available on the Illinois Information Hub via the Training link. Other recorded webinars, FAQs and resources are available on the Info Hub.

    STEP 2

    Set Up User Accounts

    As a first step after receiving your portal credentials, review existing user accounts and create new user accounts for any additional agency members that will be using the HHAeXchange portal. This video covers how to complete this step!

    Set Up Caregivers

    Check to validate caregivers have been created in the system and that the information on the profile page is correct. If not, the caregiver will need to be added. Once a caregiver is in the system, validate the EVV method to be used by the caregiver. The resources below will help you enable caregivers to perform EVV:

    Set Up Patients (Customers)

    In order for your Caregivers to begin clocking in and out, you much ensure that the patients (customers) are present in your HHAeXchange portal. Steps to add customers and link contracts are found in HHAeXchange University, as well as in the Knowledge Base within your HHAeXchange portal.

    Begin Using EVV

    If your agency prefers to pre-schedule services, check out our Master Week functionality to help make scheduling a breeze. If your services are unscheduled, follow the workflow to link Caregivers to Customers, which can be found here.

    Download the HHAeXchange+ Mobile App

    The HHAeXchange+ Mobile App is a great tool for capturing mobile Electronic Visit Verification (EVV). Service Providers will need to install the app to their personal mobile devices.  

    To download the app, click this link for the App Store or this link for Google Play Store. 

    If searching for the app in your device’s app store, be sure to include the plus sign as a part of the search (HHAeXchange+) and confirm that you are downloading the HHAeXchange+ app, not the HHAeXchange app.
